Profile Summary

A Profile saves the details of a transaction for future use in order to make transaction processing easier.  The profile includes account information, recipient information, narrative information, and profile protection level.  

Once you create and name a profile, you can use the profile on the Profile Summary screen to create a transaction.  

The Profile Summary screen allows the user to:

  1. Click the Activity Tab

  2. Click on Profiles from the Money Movement submenu

Create Profile

There are several ways to create a profile.

  1. When creating a transaction, complete the necessary information, and then click the Save as Profile checkbox near the bottom of the transaction page, enter a unique Profile Name and select the Profile Protection level (if applicable).  The profile will be created when the transaction is submitted.

  2. Or, while on the Profile Summary page, click on the drop down next to Create Profile to select the Transaction Type.  Enter the required information and click on Continue.

  3. Or, within the Import Transactions template, enter a unique Profile Name along with the required transaction details.  The profile will be set up when the transaction is created.

When creating a Profile, the user is required to input a unique Profile Name and select a Profile Protection level.  Depending on the user's access, there are three options for profile protection level: Full, Partial and Unprotected.   

If the profile is set up as Unprotected, then only a Transaction Originator can use the profile to create a transaction.  Any fields can be edited when creating the transaction from the profile.

For additional controls, the Profile Protection level can be set to Partial or Full.  The protection level determines which fields can be edited when the profile is used to create a transaction.

Profile Status

To track the process of creating/editing and reviewing profiles, a Profile Status is displayed for each profile which determines what actions are available for the profile (Use, Edit, Copy, Delete, Review).  The Profile Status is displayed on the Profile Summary page as well as the Profile Details page.

The Profile Statuses are:

Active The profile has been created and reviewed (if necessary) and is available for Use to create a transaction.
Draft The profile was being created and the user saved it as a draft with incomplete information.  The profile cannot be used to create a transaction in this status.
Pending Review The profile was created with Partial or Full Profile Protection and requires the Profile Reviewer to take action on the profile.  An alert will be sent to the Profile Reviewers and the profile will remain in Pending Review status until the Profile Reviewer takes action.  If the profile is accepted the status will change to Active.  The profile cannot be used to create a transaction in this status.
Edit Required If the Profile Reviewer does not accept a profile during their review and the status changes from Pending Review to Edit Required, an alert is sent to the Profile Originator to make updates to the profile.  Once the changes are made, the profile will go back to Pending Review status pending the Profile Reviewer’s actions.  The profile cannot be used to create a transaction in this status.
Inactive When a profile is deleted, the profile will remain in Inactive status for 30 days.  During this time, the profile can be edited to reactivate the profile or copied to create a new profile.  After 30 days, the profile will be permanently deleted.  The profile cannot be used to create a transaction in this status.

 

Searching / Filtering Profiles

From the Profile Summary page, the user can search for an existing profile using one or more Filter Criteria.

  1. Click Filter Criteria button to view search criteria options

  2. Click the Check Box to the left to select additional search criteria to customize the search

  3. Enter the Filter Criteria and click Refresh View to view the results of the search

Enter the Profile Name given when profile was created

Profile Protection

Select the protection level: Full, Partial, Unprotected

Modified Date

Select the Date the profile was created or last modified

Modified By

Input the User ID of the user who created or modified the profile(s)

Profile Status

Select the profile status: Active, Draft, Edit Required, Inactive, Pending Review

Type

Select the Transaction Type for the Profile

  • Wire Expect in to Custody/Trust Account

  • Wire out of Custody/Trust Account

  • Wire out of Checking/Savings Account

  • Transfer between Custody/Trust Accounts

  • Transfer between Checking/Savings Accounts

  • Transfer from Custody/Trust to Checking/Savings Account

Account

Input the From Account associated with the Profile.

 

 

Review Profiles

When a profile has been created with partial of full protection level, the profile will require review by an authorized Profile Reviewer.

  1. From the Profile Summary page, the Profile Reviewer can search for profiles in Pending Review status using the Filter Criteria.

  2. To review the profile, click on Review from the Action menu or click on Pending Review (displayed in bold-red if user is authorized) in the Profile Status column.

  3. Review the profile details on the Submit Profile Review page.

  4. Select Accept if the details are correct and click Continue.  The profile will then become Active and available for use.

  5. Select Not Accept if the details are incorrect and enter what needs to be changed in the Additional Info section (optional).  The profile status will change to Edit Required as pending for the user who created/edited the profile to make the necessary changes.

Create a Transaction from a Profile

  1. From the Profile Summary page, search for the Profile from the list or use the Filter Criteria.

  2. Click on Use in Action column to the right.  The profile will only be available for use if the status is Active and the user is authorized to create transactions from that profile.

  3. Complete the remaining required information in the Transaction and click Continue.

  4. Review the transaction details on the Verification page and click Submit.
